Six Prompt Categories.
25 Prompts.
The difference between a useful AI answer and a useless one is usually how the question was asked. A generic question gets a generic answer. A prompt that includes context, the right framing, and a specific output format gets something you can actually bring to a driver conversation or an audit response.
These prompts were built from real compliance situations. Not what sounds good. What actually comes up.
HOS and ELD Violations
Analyze specific violations, understand severity, draft corrective action plans, identify pattern problems, and coach drivers on common mistakes.
CSA Score Review
Interpret your BASIC scores, prioritize which violations to address first, understand how inspections affect scoring, and build a score improvement plan.
DOT Audit Preparation
Organize your document checklist, draft responses to audit notices, understand what auditors look for, and prepare driver file summaries.
Driver Coaching
Draft coaching conversation scripts, write corrective action notices, explain violations in plain English, and address repeated issues without legal exposure.
Policy and Procedure Writing
Draft HOS policies, drug and alcohol program documents, safety management plans, and vehicle inspection procedures in plain language.
Insurance and Risk
Summarize your safety program for insurers, prepare for renewal conversations, explain CSA scores to underwriters, and document your risk controls.
"I have a driver with three 11-hour violations in the last 60 days. The violations occurred on Monday runs that typically run long. I need to have a corrective action conversation with this driver next week. Write me a coaching script that explains the specific violation, the potential consequences, and what I expect going forward. Make it firm but not hostile. I want documentation that I addressed it."
What AI Can and
Cannot Do Here
AI is good at drafting, summarizing, explaining, and organizing. It is not good at replacing judgment, verifying current regulations, or handling active legal situations.
Use these prompts to speed up the work that takes time: writing corrective actions, drafting policy language, preparing audit checklists. Do not use AI to make final calls on serious violations, pending enforcement actions, or anything that involves legal exposure. That is what consultants and attorneys are for.
The playbook includes a one-page guide on when to use AI and when to stop and call someone.
These prompts work with ChatGPT (GPT-4 or higher), Claude, Gemini, and most other current AI tools. You do not need a paid account to use most of them, though paid versions generally give better results for complex drafting tasks.
- Carriers who have tried AI tools but got generic, unhelpful answers
- Safety coordinators who need to draft communications faster
- Owner operators managing their own compliance with limited time
- Small fleet operators who cannot afford outside help for every question
- Anyone who spends more than 30 minutes writing a corrective action notice
